Why EPC supply is demanding

The EPC carries the interface risk on a solar project. Every tolerance mismatch between foundation and structure, every drawing that arrives late and every delivery that slips becomes the EPC’s problem, and the recovery cost lands in a fixed-price contract where there is no mechanism to pass it on.

  • Bid-stage support is time-critical: a technical clarification that takes a week can cost a tender outright
  • Tolerance interfaces between foundation, structure and tracker are a classic responsibility gap, and the EPC pays for it unless it is allocated in writing

How quickly should a supplier respond to bid-stage technical queries?
Within days, not weeks, and by an engineer rather than a sales contact. A tender programme leaves no slack for a clarification cycle, and a supplier who cannot answer basic structural or tolerance questions quickly during bidding is unlikely to respond faster during construction. We treat bid-stage responsiveness as a genuine predictor of project performance.
Should we buy foundations and structure from one supplier?
On most large ground-mount projects, yes. The interface between pile head and structure is where the classic responsibility gap sits, and a single supplier removes the argument rather than resolving it. The exception is where the EPC has its own piling capability and strong local foundation experience, in which case a documented tolerance matrix can achieve a similar outcome.
How do you secure delivery reliability on a fixed programme?
By reserving production slots rather than accepting indicative lead times, and by sequencing delivery to construction zones rather than to shipping convenience. We also provide weekly production visibility during the build, so a slip is visible while it can still be recovered instead of when it becomes a schedule event.
What site support is reasonable to expect?
An installation manual with crew sizing, equipment and output targets; training on the first blocks; a named engineering contact during the installation window; and out-of-hours coverage during peak installation periods. What is not reasonable is expecting a site to work through a design difference without access to the engineer who made the design.
What happens when site conditions differ from the design assumptions?
The response depends on when the difference is found. Differences visible before fabrication are handled by redesign at modest cost. Differences found during installation – refusal, unexpected services, tolerance clashes – need a pre-agreed response method, which is why we define refusal and tolerance procedures during engineering freeze rather than during construction.
